Frequently Asked Questions
We're here to answer your questions and provide any information that you need.
Calming Waters provides counseling services to children, adolescents, adults, couples, and families through all phases of life.
A: Yes, we are in-network with Aetna, Cigna, BlueCross BlueShield, Optum/United Healthcare, and UMR insurance plans, with only minor specific plan exemptions — these exemptions include BCBS High Performance plans, BCBS BlueLocal, BCBS BlueValue, UHC Community Plan, and Aetna’s CVS Health Plan, to name some examples. We cannot take Medicare or Medicaid, and we only file with primary insurance plans. We encourage all clients to verify their individual benefits and coverage prior to starting services so you can anticipate any out-of-pocket costs. To provide a guideline around contacting your insurance carrier, please consider asking the following questions outlined below:
- Do you have mental health benefits?
- What is your deductible/copay? What will your patient responsibility be per session for mental health services?
- Are mental health services categorized under primary care provider [PCP] or specialist by your insurance plan?
- When is the start and end dates of your plan’s coverage?
- What is the payment policy for an out-of-network provider?
A: Yes, we provide both in-person and telehealth counseling. For our telehealth sessions we are working with our current clients via a HIPAA compliant teleconferencing platform. Please note that most of our staff can only offer telehealth services to residents currently anywhere within the state of North Carolina, and a very select few can also do so for residents of South Carolina. We do not offer telehealth services outside of those two states and suggest in those cases you look for a local provider. Check with your health insurance plan to ensure telehealth services are covered.
A: Generally, sessions will begin on the hour, and typically last for 55 minutes. However, the amount of time you spend per session is primarily based on your specific needs. Please speak with your counselor about your session time should you feel it necessary.
A: Depending on the situation, your sessions may or may not involve other people. Different situations will dictate whether or not your therapy sessions will involve people other than yourself and your therapist. Please speak with your therapist directly, if you would like for others to be involved.
A: In many cases, therapy proves to be most effective when you take an active role during and in between sessions. In our experience, most of our clients who find success in their therapy journey are those who willingly put in the work in cultivating a sense of awareness and in taking responsibility for their actions. We expect honesty, trust, and openness – there’s no timeline.
A: If you are a minor—under the age of 18—then you will need parental or guardian permission to be able to attend therapy. Therapy is treatment, and treatment requires consent. Although parents will be able to acquire details on aspects such as scheduling, insurance, and financials at any time, what you share in the therapeutic relationship is confidential.
A: The cost of your therapy will vary according to the services you require, as well as whether you have insurance or not. All new clients are charged our universal one-time $45 new client scheduling fee upon confirming their intake appointment; this fee is not covered by insurance, being fully patient responsibility.
Clients with insurance plans not accepted by our office, or without insurance overall, will be charged our self-pay rates for services. Those rates are listed below. Our office administration would be happy to further discuss our rates with you during the intake process. We do not offer sliding scale rates to new clients.
- New Client Fee — $45
- Intake Session/First Session with a New Counselor — $150
- Individual Sessions for Adolescents or Adults — $130
- Family/Couples/Play Therapy/EMDR Sessions — $150
- Co-Parenting Psychoeducational Sessions — $145

A: Yes, everything is protected by utmost privacy and confidentiality. However, there are legal limits to both privacy and confidentiality, specifically in cases where you are in immediate danger of harming yourself or other people. We will discuss matters related to privacy and confidentiality during your first therapy session.
A: Our practice has a $90 missed appointment fee. It is charged at your counselor’s discretion. An appointment is considered ‘missed’ if the following occurs: you give less than 24 hours’ notice to cancel an appointment and the appointment cannot be rescheduled for a later date in the same week, you arrive over 15 minutes late to an appointment, or you overall do not show up when scheduled for an appointment. Should you wish to discuss any missed appointments please reach out to your counselor directly, or alternatively, to the office for assistance in contacting your counselor.
